DUTIES AND RESPONSIBILITIES:
• Maintain and organize physical and electronic files, ensuring documents are correctly categorized, labeled, and stored.
• Retrieve documents quickly and efficiently upon request by staff or management.
• Track the movement of documents and files in and out of the filing system.
• Scan, upload, and organize documents into digital formats for secure and efficient electronic filing.
• Handle sensitive and confidential documents with discretion and in compliance with privacy regulations.
• Monitor the condition of physical files and ensure they are stored in a clean and organized manner.
• Ensure filing systems comply with legal, regulatory, and organizational standards.
• Dispose of outdated documents in accordance with company policy and legal requirements.
• Assist other staff members with administrative tasks related to file organization and document management.
• Provide recommendations for improvements to the filing system or processes as needed.
KEY SKILLS AND QUALIFICATIONS:
• Proven experience as a Filing Officer, Records Manager, or similar role.
• Excellent organizational and time-management skills.
• Strong attention to detail and accuracy.
• Ability to work independently and prioritize tasks.
• Familiarity with digital filing systems and electronic document management tools.
• Understanding of confidentiality and data protection policies.
• Strong communication skills to liaise with other departments.
EDUCATIONAL REQUIREMENTS:
• Diploma or degree in office management, records management, or a related field is preferred.
• Proficiency in computer applications and file management software
